Administrative Leave Extended

Due to the University’s decision to delay on-campus return, administrative leave is authorized in accordance with these instructions.

Timekeeping During Limited Operations

During this time, only faculty and staff designated as essential should report to their worksite. Individuals not authorized to report are expected to telework to the extent permitted by their position and as directed by their supervisor. Anyone unable to telework because the job duties are not able to be done remotely will be granted administrative leave from August 24 through August 30, 2020, to cover any time where telework is not possible. Please read the temporary telework policy applicable during COVID-19 operations for more details related to teleworking.

Use of administrative leave for those unable to telework will end, effective August 31, 2020. Individuals who are unable to fully and sustainably telework must consult with their supervisors to determine their status and how job duties are to be performed for the period of August 24 through August 30.

Please note the following information related to timekeeping, work status, pay, and administrative leave until August 31 for all faculty and staff:

GENERAL GUIDANCE ON ADMINISTRATIVE LEAVE

Individuals who are not on a previously approved leave of any type and are in positions that are not appropriate for telework, are eligible for administrative leave from August 24 through August 30, 2020.

Those who are designated as essential and authorized to return to campus, and those that are able to continue full telework are expected to work as directed by their department and/or supervisor.

Please note that student employees are NOT eligible for administrative leave at this time. Students who work in a position that will not have any actual work hours scheduled will not receive administrative leave unless participating in a Federal Work Study program.  Federal Work Study participants will continue to submit hours for payment as usual even if it is not possible for the hours to be scheduled/worked.

TELEWORK: FACULTY AND STAFF EXEMPT AND NON-EXEMPT

Exempt employees that are teleworking record D for duty day on the timesheet for their regularly scheduled work days.

Non-Exempt employees that are teleworking should record start timestop time, and hours in and out to capture the actual hours worked on the timesheet.

TELEWORK AND ADMINISTRATIVE LEAVE COMBINED: FACULTY AND STAFF EXEMPT AND NON-EXEMPT

Non-Exempt employees that can only perform some of their job duties via telework will code the timesheet with a combination of actual hours worked and administrative leave. Record start timestop time, and hours in and out to capture the hours worked.

Code the remaining hours as administrative leave, using the appropriate method as described in the administrative leave section below. The total of hours actually worked plus administrative leave hours should equal the normal hours of your work day.

ADMINISTRATIVE LEAVE: FACULTY, STAFF, LECTURERS, CONTINGENT I, CONTINGENT II

Individuals who are eligible for administrative leave should use the appropriate code when entering corresponding hours attributed to administrative leave on the timesheet:

  • Regular Faculty and Staff — ADMU
  • Contingent II Exempt Staff — ADMCE
  • Contingent II Non-Exempt Staff — ADMCU
  • Lecturers — record D (for duty day) on regularly scheduled work days and note “administrative leave hours” in the remarks section
  • Contingent I Staff and Federal Work Study Students — record normal work hours on the timesheet and note “administrative leave hours” in the remarks section

Please follow the timekeeping guidance below to ensure proper payment and recordkeeping for administrative leave:

  • To capture administrative leave, the following information must be noted in the remarks section of the timesheet:  ADMIN and the date, time, and hours of leave.  Example – ADMIN; 8-24-20; 8 am – 12 pm; 4 hours.
  • Follow the same format for each day in the pay period in which you are regularly scheduled to work and are eligible for paid administrative leave for all or part of your normal work day.
